Teacher Rules & Responsibilities

These rules govern how teachers and school staff must use the Real Public School management platform. All teachers and staff are expected to comply with these rules to protect student data and maintain the integrity of school records.

1. Introduction

Teachers and school staff are entrusted with access to sensitive student, parent, and school data through the Real Public School management platform. This access is granted solely for the purpose of fulfilling assigned educational and administrative responsibilities.

By using the platform, all teachers and staff agree to handle data responsibly, maintain the accuracy of school records, and protect the privacy and confidentiality of all information they access.

Who These Rules Apply To

These rules apply to all teaching staff, administrative staff, and any other school employees who have been granted access to the Real Public School management platform.

2. Data Responsibility

Teachers and staff are responsible for the data they access and manage. You must:

  • Access only the student and school information that is necessary for your assigned responsibilities
  • Not access student information beyond the scope of your role
  • Treat all student, parent, and school information as strictly confidential
  • Not share student or parent information with unauthorized parties — including other teachers who do not have a legitimate need
  • Not use student or parent information for any purpose other than your assigned school duties
  • Ensure that student data is not visible on shared screens in public or unauthorized areas

Data Minimization

Access only the data you need for your specific role and responsibilities. Accessing student records out of curiosity or for non-work purposes is a serious violation of student privacy.

3. Attendance Records

Teachers responsible for attendance must:

  • Record attendance accurately and promptly for all assigned classes
  • Not mark attendance for classes you did not supervise
  • Correct attendance errors through the authorized correction process — do not make unauthorized changes
  • Report any technical issues with attendance recording to the school administration immediately
  • Not delete or manipulate attendance records to misrepresent a student's attendance

4. Academic Records & Results

Teachers responsible for academic records and results must:

  • Enter marks, grades, and results accurately and in a timely manner
  • Verify all entries before submission to minimize errors
  • Follow the school's authorized process for correcting any errors in results
  • Not modify results after official publication without proper authorization from the school administration
  • Not access or modify another teacher's class results without authorization
  • Maintain the integrity and accuracy of all academic records under your responsibility

Record Integrity

Unauthorized modification of student results or academic records is a serious disciplinary matter and may have legal consequences. All changes to published results must follow the school's authorized correction process.

5. Homework & Assignments

When creating and managing homework and assignments on the platform:

  • Provide clear, accurate, and appropriate instructions for all assignments
  • Set reasonable deadlines and communicate them clearly to students
  • Review and provide timely, constructive feedback on student submissions
  • Ensure assignment content is appropriate for the student's age and grade level
  • Not assign work that requires students to upload inappropriate or copyrighted content
  • Maintain the confidentiality of student submissions — do not share a student's work with others without authorization

6. Notices & Uploaded Documents

When uploading notices, documents, or other materials to the platform:

  • Upload only school-appropriate, authorized, and relevant materials
  • Ensure all uploaded content is accurate and up to date
  • Do not upload copyrighted materials (textbooks, third-party content) without proper licensing or authorization
  • Do not upload personal, private, or sensitive information about students or parents in public notices
  • Remove outdated notices and documents in a timely manner
  • Only upload files in permitted formats (PDF, DOC, DOCX, JPG, PNG, or as specified)

7. Student Communication

When communicating with students and parents through the platform:

  • Communicate professionally, respectfully, and appropriately at all times
  • Use communication features only for school-related purposes
  • Do not engage in personal, inappropriate, or unprofessional communication with students
  • Do not share a student's personal information with other students or unauthorized parties through the communication features
  • Maintain appropriate professional boundaries in all communications
  • Report any inappropriate communication received from students or parents to the school administration

8. Confidential Information

Teachers and staff must treat the following as strictly confidential:

  • Student academic records, results, and performance data
  • Student attendance records
  • Student and parent personal contact information
  • Fee payment and financial information
  • Student health or special needs information
  • Disciplinary records
  • Any other information designated as confidential by the school administration

Confidential information must not be discussed in public areas, shared via personal messaging apps, or disclosed to unauthorized parties under any circumstances.

9. Corrections & Deletions

When correcting or deleting records on the platform:

  • All corrections to important records (attendance, results, grades) must follow the school's authorized correction process
  • Document the reason for any correction when required by the platform
  • Do not permanently delete important records unless your role explicitly authorizes this action
  • Report any data discrepancies or suspected errors to the school administration promptly
  • Do not attempt to hide or cover up errors by unauthorized deletion or modification

10. Audit & History Records

Teachers and staff must maintain the integrity of all records they manage on the platform. Teachers and staff must be aware that:

  • Attempting to circumvent or falsify any record history is strictly prohibited
  • Any data discrepancy, suspected error, or unauthorized change must be reported to the school administration immediately
  • Records may be reviewed in the event of a data discrepancy, security incident, or disciplinary investigation

Record Integrity

Maintaining accurate and honest records is a core responsibility of all teaching and administrative staff. Any suspected tampering with school records must be reported to the school administration immediately.

11. Account Security

Teachers and staff must maintain the security of their platform accounts:

  • Keep your login credentials strictly confidential — never share your username or password
  • Use a strong, unique password that you do not use for other services
  • Log out of your account when leaving your workstation or using shared devices
  • Report any suspected unauthorized access to your account immediately
  • Not allow another person to use your account under any circumstances
  • Comply with any multi-factor authentication requirements for your account

12. Prohibited Actions

Teachers and staff must not:

  • Access student or parent information beyond the scope of their assigned role
  • Share student or parent data with unauthorized parties
  • Modify or delete records without proper authorization
  • Attempt to bypass security controls or access restrictions
  • Upload inappropriate, harmful, or copyrighted content without authorization
  • Use the platform for personal commercial activities or non-school purposes
  • Impersonate another teacher, staff member, or administrator
  • Attempt to access administrative functions beyond their authorized role

13. Reporting Issues

Teachers and staff are expected to report:

  • Any suspected security vulnerabilities or unauthorized access
  • Any data discrepancies or suspected errors in school records
  • Any inappropriate behavior or content observed on the platform
  • Any technical problems that affect their ability to perform their duties
  • Any suspected data breach or privacy incident

Reports should be made to the school administration or through the Grievance / Contact section.

14. Consequences of Violations

Violations of these rules may result in:

  • Formal disciplinary action under the school's staff conduct policy
  • Temporary or permanent suspension of platform access
  • Termination of employment in serious cases
  • Reporting to appropriate regulatory or legal authorities where required

The severity of the consequence will depend on the nature and seriousness of the violation. Staff may appeal disciplinary decisions through the school's grievance process.
