This Privacy Policy explains how Real Public School collects, uses, stores, and protects information about students, teachers, parents, and staff through our school management platform. Please read this document carefully.

1. Introduction

Real Public School ("we", "our", or "the School") is committed to protecting the privacy and security of all individuals who use our school management platform. This Privacy Policy describes how we collect, use, store, share, and protect personal information of students, teachers, staff, parents, and guardians.

This policy applies to the Real Public School management application, including its web and mobile interfaces, administrative portals, and any associated digital services operated by the School.

Policy Scope

This Privacy Policy covers all digital services operated directly by Real Public School. Third-party services integrated with our platform (such as payment gateways) are governed by their own privacy policies, which we encourage you to review separately.

By using our platform, you acknowledge that you have read, understood, and agree to the practices described in this Privacy Policy. If you do not agree, please discontinue use of the platform and contact the school administration.

2. Information We Collect

We collect only the information necessary to provide educational and administrative services. The types of information we collect include:

  • Identity information: Names, dates of birth, photographs, admission numbers, roll numbers
  • Contact information: Mobile numbers, email addresses, home addresses
  • Authentication information: Usernames, encrypted passwords, session tokens
  • Academic information: Grades, marks, attendance records, homework submissions
  • Financial information: Fee payment records, transaction references (not raw card/UPI data)
  • Uploaded content: Documents, images, PDFs, videos submitted through the platform
  • Technical information: Browser type, device type, server-side error logs for platform maintenance

We do not collect unnecessary personal information. Collection is limited to what is required for the legitimate functioning of the school management system.

3. Student Information

Student information is among the most sensitive data handled by our platform. We collect and maintain the following student-related information:

  • Full name, date of birth, gender, photograph
  • Admission number, roll number, class, section, academic year
  • Parent/guardian names and contact details
  • Residential address
  • Academic performance records, examination results, report cards
  • Attendance records
  • Homework and assignment submissions
  • Fee payment records

Student Data Protection — Critical

Student personal information is never made publicly accessible. Access to student data is strictly limited to the student themselves (where age-appropriate), their linked parent/guardian, assigned teachers, and authorized school administrators. Student data is never shared with unauthorized third parties.

4. Teacher / Staff Information

We collect and maintain the following information for teachers and staff members:

  • Full name, employee ID, designation, department
  • Official contact email and phone number
  • Assigned classes, subjects, and sections
  • Login credentials (encrypted)
  • Attendance and leave records
  • Documents uploaded in an official capacity
  • Activity logs related to platform use

Teacher information is accessible only to the teacher themselves and authorized school administrators. Teachers may access student information only for their assigned classes and responsibilities.

5. Parent / Guardian Information

We collect the following information for parents and guardians:

  • Full name, relationship to student
  • Mobile number and email address
  • Home address (as provided)
  • Login credentials (encrypted)
  • Communication history with the school
  • Fee payment history linked to their student(s)

Parents and guardians may access information pertaining only to their linked student(s). They do not have access to other students' information.

6. Mobile Number and Email Information

Mobile numbers and email addresses are collected for the following purposes:

  • Account registration and login
  • Official school communications and notifications
  • Fee payment receipts and reminders
  • Academic alerts (results, attendance, homework)
  • Emergency communications

Contact information is not shared with third parties for marketing purposes. It is used solely for school-related communications.

Communication Consent

By registering on the platform, users consent to receiving school-related communications via in-app notifications and, where notification services are configured, by email or SMS. Users may manage notification preferences within their account settings.

7. Login and Authentication Information

We collect information necessary for secure authentication:

  • Usernames and encrypted passwords (passwords are never stored in plain text)
  • Login timestamps and session information
  • Failed login attempt logs (for security monitoring)

Password Security

Passwords are stored using industry-standard cryptographic hashing. The school never stores, views, or shares your plain-text password. If you forget your password, a reset process is available — school staff cannot retrieve your original password.

8. Attendance Information

The platform records student and, where applicable, staff attendance. Attendance data includes:

  • Daily presence/absence status
  • Date and time of attendance marking
  • The staff member who recorded the attendance
  • Any remarks or leave reasons provided

Attendance records are accessible to the student (or their parent/guardian), assigned teachers, and school administrators. Attendance data is used for academic reporting and school administration purposes only.

9. Academic Records

Academic records maintained on the platform include class performance data, subject-wise grades, teacher remarks, and academic history. These records are:

  • Accessible only to the student, their parent/guardian, assigned teachers, and administrators
  • Protected against unauthorized modification — only authorized staff may update academic records
  • Subject to authorized review and correction processes for important changes
  • Retained for the duration required by school policy and applicable regulations

10. Examination and Result Information

Examination and result data includes marks, grades, rank information, and report cards. This data is:

  • Entered and verified by authorized teaching staff
  • Accessible to the relevant student and their parent/guardian after official declaration
  • Not shared publicly or with unauthorized parties
  • Subject to a correction/dispute process through school administration

11. Homework and Assignment Information

Homework and assignment submissions are stored on the platform. This includes:

  • Assignment descriptions and instructions (created by teachers)
  • Student submissions (text, uploaded files)
  • Submission timestamps
  • Teacher feedback and grades

Assignment submissions are visible only to the submitting student, their parent/guardian, and the assigned teacher. Other students cannot view another student's submission.

12. Fee and Payment Information

The platform records fee-related information including:

  • Fee structure and applicable amounts
  • Payment dates and amounts
  • Transaction reference numbers
  • Payment method (e.g., online transfer, cash — not raw card data)
  • Payment status (paid, pending, overdue)
  • Generated receipts

Sensitive Payment Data

The school does NOT store raw card numbers, CVV codes, UPI PINs, net banking passwords, or any other sensitive payment credentials. If online payment is processed through a third-party payment gateway, that transaction is governed by the payment provider's own security and privacy policies.

13. Uploaded Files, Images, PDFs, and Videos

Users may upload various files through the platform. All uploaded content is:

  • Accessible only to authorized users based on their role and context
  • Subject to file type and size restrictions
  • Reviewed for policy compliance where feasible

Uploaded files include student homework, result documents, certificates, school notices, and administrative documents. Files are not publicly accessible without authorization.

14. Notices and Announcements

School notices and announcements published on the platform are accessible to intended recipients based on their role (school-wide, class-specific, or role-specific). Notice content, publication date, and author are recorded. Notices may include attachments subject to the file upload policy.

15. Device and Technical Information

When you access the platform, the following technical information may be collected for security and operational purposes:

  • Browser type and version
  • Device type (desktop, mobile, tablet)
  • Server-side error logs for debugging and platform maintenance

This technical information is used for platform maintenance and security monitoring. It is not used for advertising purposes.

16. How Information Is Used

Information collected through the platform is used for the following purposes:

  • Providing and maintaining school management services
  • Managing student enrollment, attendance, and academic records
  • Processing fee payments and generating receipts
  • Facilitating communication between the school, teachers, parents, and students
  • Sending official notifications, alerts, and announcements
  • Ensuring platform security and preventing unauthorized access
  • Generating administrative reports for school management
  • Complying with applicable legal and regulatory requirements
  • Investigating complaints and resolving disputes

We do not use personal information for commercial advertising, profiling for non-educational purposes, or any purpose inconsistent with school administration.

17. How Information Is Stored

Information is stored on secure servers. The school uses cloud-based infrastructure for data storage. Key storage practices include:

  • Data transmitted over encrypted connections (HTTPS/TLS)
  • Role-based access controls limiting who can access stored data
  • Separation of production and development environments

Personal information is retained for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable law or school policy. Retention guidelines include:

  • Active student records: Retained throughout the student's enrollment and for a period after leaving as required by school policy
  • Alumni records: Retained as required for academic certification purposes
  • Financial records: Retained as required by applicable accounting and tax regulations
  • Login and security logs: Retained for a defined security review period as determined by the school administration
  • Deleted account data: Removed within a reasonable period following verified deletion requests, subject to legal hold requirements

20. Who Can Access Information

Access to information on the platform is governed by strict role-based access controls:

  • Students: May access only their own permitted information (their own results, attendance, homework, notices)
  • Parents/Guardians: May access information related to their linked student(s) only
  • Teachers: May access information necessary for their assigned classes and responsibilities only
  • School Administrators: Have controlled administrative access appropriate to their role
  • Technical Staff: Access limited to what is necessary for platform maintenance, with appropriate oversight

No Public Exposure

Private student, teacher, or parent information is never exposed on public-facing pages. The platform's public pages (such as this policy page) contain no personal information.

21. Sharing of Information with Service Providers

We may share limited personal information with trusted third-party service providers who assist in operating the platform. These providers are engaged for specific purposes only and are required to maintain the confidentiality and security of the information shared with them.

Categories of service providers may include:

  • Cloud infrastructure and database hosting providers
  • Payment processing providers (where online payment is enabled)
  • Communication service providers (where email or SMS notifications are enabled)

We do not sell, rent, or trade personal information. Information is shared with service providers only to the extent necessary for them to perform their services.

22. Payment Gateway Data Handling

Where online fee payments are enabled through a third-party payment gateway:

  • Payment credentials (card numbers, CVV, UPI PIN) are processed by the payment provider, not stored by the school
  • The school receives only a transaction reference number and payment status confirmation
  • The payment provider's own privacy policy and security practices govern the payment transaction
  • Users are advised to review the payment provider's policies before completing a transaction

If online payment is not currently enabled, fee payments are recorded manually by authorized school staff.

23. Email / Notification Service Handling

Where email or SMS delivery services are configured and enabled for the platform, these services receive the recipient's email address or mobile number solely for the purpose of delivering the requested school communication. Such services are not currently active by default and depend on the school's platform configuration.

24. File Storage Handling

Files uploaded to the platform are stored with access controls so that only authorized users can access them. Direct access to stored files is not available to end users — all file access is mediated through the platform's access control layer.

25. Cookies and Local Storage

The platform may use cookies and browser local storage for:

  • Maintaining your login session
  • Remembering user preferences
  • Security tokens (to prevent cross-site request forgery)

The platform does not use cookies for advertising or cross-site tracking. Essential session cookies are required for the platform to function. You may configure your browser to block cookies, but this may affect platform functionality.

26. Children's / Student Data Protection

The platform handles information about minor students. We apply heightened protections for student data:

  • Student data is accessible only to authorized school personnel and the student's parent/guardian
  • Student information is never used for commercial profiling or advertising
  • Data minimization principles apply — we collect only what is necessary for educational administration

Legal Compliance Note

Real Public School is committed to protecting children's data. However, this policy does not constitute legal compliance certification with GDPR, DPDP Act, COPPA, FERPA, or any other specific regulation. Schools should verify applicable legal requirements with a qualified legal professional.

27. Parent / Guardian Rights

Parents and guardians have the following rights regarding their child's information:

  • Right to access: Request a copy of your child's personal information held by the school
  • Right to correction: Request correction of inaccurate information
  • Right to know: Be informed about what information is collected and how it is used
  • Right to raise concerns: Submit a grievance if you believe information has been mishandled

If you believe information held about you or your child is inaccurate, you may request a correction through the school administration. Deletion requests will be considered subject to:

Requests for correction or deletion should be submitted in writing to the school's designated contact. The school will respond within a reasonable timeframe.
