Communication & Notification Policy

This policy governs how communications and notifications are managed on the Real Public School management platform, including the rules for user communications and how the school sends notifications to its community.

1. Introduction

The Real Public School management platform provides communication features to facilitate official school-related communication between the school, teachers, students, and parents/guardians. The platform also sends automated notifications to keep users informed about important school events, updates, and activities.

All users must use the platform's communication features responsibly, respectfully, and only for their intended school-related purposes.

2. Communication Channels

The platform may provide the following communication channels (availability depends on the school's configuration):

  • In-app messaging: Direct messages between authorized users within the platform
  • Notices and announcements: School-wide or class-specific notices published by authorized staff
  • Email notifications: Automated and manual notifications sent to registered email addresses
  • SMS notifications: Automated notifications sent to registered mobile numbers
  • Push notifications: Notifications sent to mobile devices where the app is installed

3. Acceptable Communication

All users may use the platform's communication features for the following purposes:

  • Official school-related communication between teachers, students, and parents/guardians
  • Queries about attendance, results, homework, or school notices
  • Communication regarding fee payments or school administration matters
  • Reporting technical issues or concerns to the school administration
  • Receiving and acknowledging school announcements and notices

All communication must be:

  • Respectful and professional in tone
  • Relevant to school-related matters
  • Accurate and honest
  • Appropriate for an educational environment

4. Prohibited Communication

The following types of communication are strictly prohibited on the platform:

  • Harassing, threatening, abusive, or offensive messages
  • Bullying or intimidating behavior toward any user
  • Unsolicited bulk messages or spam
  • Messages containing illegal content
  • Messages sharing another person's private information without their consent
  • Commercial advertising or solicitation
  • Messages containing malicious links or attachments
  • Impersonating another user or school official
  • Messages that violate the school's code of conduct

Prohibited Communication

Sending harassing, threatening, or abusive messages through the platform is a serious violation and may result in immediate account suspension and, where appropriate, reporting to authorities.

5. School Notifications

The school uses the platform to send official notifications to students, parents/guardians, and staff. These notifications are sent for legitimate school-related purposes and are an important part of school communication.

Users should:

  • Ensure their contact information (email and mobile number) is current to receive notifications
  • Read school notifications promptly, particularly those marked as urgent or important
  • Not ignore or block school notifications without a legitimate reason
  • Contact the school if they are not receiving expected notifications

6. Types of Notifications

The platform may send the following types of notifications:

  • Attendance alerts: Notifications to parents/guardians about their child's attendance
  • Result notifications: Notifications when results or report cards are published
  • Homework reminders: Reminders about upcoming homework deadlines
  • Fee reminders: Notifications about upcoming or overdue fee payments
  • School announcements: General school notices and announcements
  • Account notifications: Security alerts and account-related notifications
  • Emergency notifications: Urgent communications about school closures or emergencies

7. Notification Preferences

Users may be able to manage their notification preferences within their account settings:

  • Users may be able to choose which types of notifications they receive
  • Users may be able to choose their preferred notification channels (in-app notifications, and email or SMS where those services are configured)
  • Some critical notifications (such as security alerts and emergency communications) cannot be disabled
  • Changes to notification preferences take effect within a reasonable time

Critical Notifications

Some notifications — such as security alerts, emergency communications, and critical school announcements — cannot be disabled. These are sent to ensure the safety and well-being of the school community.

8. SMS & Email Notifications

Where the platform sends SMS or email notifications:

  • SMS and email notifications are sent only to registered, verified contact details
  • The school will not send unsolicited marketing messages via SMS or email
  • All SMS and email notifications will clearly identify Real Public School as the sender
  • Users should not click on links in unexpected messages claiming to be from the school — verify with the school administration if in doubt

The availability of SMS and email notification services depends on the school's current platform configuration.

9. Communication Records

Communications sent through the platform may be stored and retained for a defined period:

  • School notices and announcements are retained as part of the school's records
  • In-app messages may be retained for a defined period
  • Communication records may be reviewed by authorized administrators in the event of a complaint, disciplinary investigation, or security incident
  • Users should be aware that communications through the platform are not private from school administrators

10. Emergency Communications

In the event of an emergency (such as a school closure, safety incident, or natural disaster), the school may use the platform to send urgent notifications to all users:

  • Emergency notifications will be sent via all available channels to maximize reach
  • Users must ensure their contact information is current to receive emergency notifications
  • Emergency notifications take priority over all other communications
  • Users must not ignore or dismiss emergency notifications

11. Third-Party Communication Services

Where third-party services are used to deliver SMS and email notifications:

  • Only the minimum necessary information (such as mobile number or email address) is shared with the service provider
  • Third-party providers are required to handle data securely and in accordance with applicable privacy requirements
  • The school does not sell or share user contact information with third parties for marketing purposes
