1. Introduction
Current Status: No AI Features Active
This policy establishes the school's commitments regarding data privacy, human oversight, and acceptable use in relation to any future AI-powered features. It is published in advance so that users understand the school's approach before any AI features are deployed.
Last Updated: August 2026
2. AI Features Overview
If AI-powered features are introduced in the future, they may include capabilities such as:
- Attendance pattern analysis or anomaly identification
- Academic performance summaries or trend analysis
- Content suggestions for homework or communications
- Automated notifications based on predefined rules
- Document processing assistance
Any AI features introduced will be clearly identified within the platform. Users will be notified before AI features that process personal data are activated.
3. How AI Would Handle User Data
If AI features are introduced, the following principles will apply to how they handle user data:
- Purpose limitation: AI algorithms will process user data only for the specific purpose for which the AI feature is designed
- Minimum data use: AI features will be designed to use only the minimum data necessary to perform their function
- No unauthorized sharing: Data processed by AI features will not be shared with unauthorized third parties
- Secure processing: AI processing will be performed in a secure environment with appropriate access controls
- Transparency: Where AI features generate outputs, users will be informed that the output was AI-generated
4. AI Output Disclaimer
Any AI-generated outputs on the platform — including suggestions, summaries, analyses, or recommendations — will be provided as assistance tools only, subject to the following limitations:
- AI outputs may be inaccurate: AI algorithms can make errors or produce incorrect results. AI outputs must always be reviewed by a qualified human before being relied upon
- AI outputs are not professional advice: AI-generated content does not constitute legal, medical, financial, academic, or any other form of professional advice
- AI outputs may be incomplete: AI algorithms may not have access to all relevant information
AI Outputs Are Not Final
5. Data Privacy & AI Training
Real Public School is committed to protecting the privacy of students, teachers, and other users in relation to any future AI features:
- No use for external AI training: Student data, teacher data, and other user data will not be used to train external AI models or shared with AI providers for training purposes without explicit consent
- Data minimization: AI features will be designed to process only the minimum data necessary for their function
- Student data protection: Student data will be treated with the highest level of privacy protection in relation to any AI features
- Third-party AI providers: Where AI features are powered by third-party AI services, data sharing with those providers will be governed by data processing agreements
6. Acceptable AI Usage
When AI features are available, users may use them for the following purposes:
- Generating drafts of school notices, communications, or reports for review and editing by authorized staff
- Analyzing attendance or academic performance data to identify trends and support decision-making
- Receiving AI-generated suggestions for homework or lesson planning as a starting point for teacher review
- Using AI-powered search or query features to find information within the platform
All AI-generated content used in official school communications, records, or decisions must be reviewed, verified, and approved by an authorized human before use.
7. Prohibited AI Usage
The following uses of AI features are strictly prohibited:
- Using AI features to generate false, misleading, or fabricated school records, results, or documents
- Attempting to manipulate AI features to produce biased or unfair outputs
- Using AI features to access data that you are not authorized to access
- Submitting AI-generated content as original student work without disclosure (academic dishonesty)
- Using AI features to harass, discriminate against, or harm any individual
- Using AI features for any purpose that violates applicable law or school policy
Prohibited AI Use
8. Human Oversight & Review
Real Public School is committed to maintaining meaningful human oversight of any AI features introduced on the platform:
- All AI-generated outputs that affect students, teachers, or school operations must be reviewed by an authorized human before being acted upon
- Authorized school staff are responsible for verifying the accuracy and appropriateness of AI-generated content before it is used in official communications or records
- The school will periodically review the performance and outputs of AI features to identify and address errors, biases, or other issues
- Users may report concerns about AI outputs to the school administration for review
9. Third-Party AI Services
If AI features powered by third-party AI service providers are introduced:
- Only the minimum necessary data will be shared with the AI service provider to perform the requested function
- Third-party AI providers will be required to handle data securely and in accordance with applicable privacy requirements
- Data shared with third-party AI providers will not be used by those providers to train their AI models without explicit consent
- The school will maintain appropriate data processing agreements with AI service providers
No third-party AI service providers are currently integrated with the platform.
10. AI & Important Decisions
Real Public School will not use AI to make final, automated decisions on the following matters without human review and authorization:
- Student academic results, grades, or promotions
- Student disciplinary actions or suspensions
- Teacher performance evaluations or employment decisions
- Fee assessments, waivers, or financial decisions
- Student admissions or enrolment decisions
AI may be used to assist with these processes, but all final decisions in these areas will be made by authorized human staff.
